12.2.7 Regulatory Circulars

 

The fourth option in the Regulations Register screen Menu (on the left-hand side) is the “Regulatory Circulars". The purpose of the feature is to provide the ability for the Compliance team to track all circulars released by each regulatory body.

 

Click on the Regulatory circulars item in the menu to bring up this screen:

Here you can see a list of all circulars uploaded on the system.

To add a new circular, click on the Version 6_img602 button to bring up the following screen:

The components of this screen are as follows (all mandatory fields are highlighted in grey):

 

Reference No – This field is used to record the reference number for each Circular; this can be a reference number from the regulatory body or an internal reference number assigned by the Compliance department.

 

Regulatory Body – This is a dropdown field for selecting the regulatory body that issued the circular.  The dropdown list data is extracted from the Regulations Hierarchy.

 

Date of Issue – This field is used to record the date the circular is released. The system automatically includes the current date as a default.  This can be changed by the user.

 

Document – This is used to attach a document to the circular; perhaps the circular received from the regulatory body.  Use the "Choose File" button to search your computer for the relevant document and upload it.

 

Subject – This is used to enter the subject of the circular.

 

Description – This is where the user can provide brief details about the circular. Treat this as a word processing field.

 

Article – You can link the circular to the relevant regulation using this drop-down field.

Related Circular tab– Once the Circular data is saved, you can use this feature to link the circular to circulars previously entered on the system.

Related Regulation tab – Once the Circular data is saved, you can view related regulations to the circular (from the articles selected)

 

To save the new circular, click on the “Save” icon at the top of the screen. Upon saving the circular, the system will generate a popup screen that allows the user to send the circular in an email to the relevant Business Unit managers for them to confirm that they have read the circular and took the necessary action(s). To send email notifications to select the entities affected by the circular, click on the “Send Alert” Icon on the top right corner of the screen.
